Privacy Policy

Last updated: 11 August 2026

1. Introduction

This Privacy Policy explains how Poletrix ("we", "us", "our") collects, uses, shares, and protects information when you use the Poletrix app. By using Poletrix, you agree to the collection and use of information as described here. If you don't agree, please don't use the app.

This Policy should be read alongside our Terms of Service.

2. Information We Collect

Account information: when you sign up, we collect your email address, username, and password (handled securely by our authentication provider — we never see or store your password in plain text). You may optionally add a display name, profile photo, and bio.

Content you upload: videos and thumbnails of tricks, transitions, combos, tutorials, training progress clips, and posts; captions, comments, and community notes; coaching questions and responses (written or video).

Training data: your logged training sessions, trick progress (want to learn / working on / landed), self-rated strength/flexibility/confidence scores, and notes you choose to add (e.g. "Today's Win"). This is fitness-activity data you voluntarily enter — we don't pull it from any external health app or wearable.

Payment information: when you buy Pole Credits (or, if applicable, subscribe to a paid tier), payments are processed by Stripe. We do not store your card details — we only keep a reference to your Stripe customer ID and your purchase/subscription status.

Competition entries: if you enter a Poletrix competition, we collect your submitted video, name, and email address. This information is kept private — visible only to you and the Poletrix team — and used solely to judge entries and contact you if you place. See Section 6 for what becomes public if you win.

Communications: direct messages you send to other users, and any messages Poletrix sends you (e.g. system notifications about your account).

Device and usage information: a push notification token (if you enable notifications), and basic technical data your device sends automatically (such as app version and device type) so we can keep the app working correctly.

3. How We Use Your Information

We use the information we collect to: provide and operate the app; process payments; let you connect with instructors and other users; display your content, badges, and achievements to other users (where you've chosen to make them public); send you notifications you've opted into; respond to support requests; detect and prevent fraud, abuse, or violations of our Terms; and improve the app over time.

We do not sell your personal information to third parties.

4. Video Hosting and Storage

Videos you upload are stored and streamed using Cloudflare Stream and Supabase Storage, third-party infrastructure providers. These providers process video data on our behalf and are contractually restricted from using it for their own purposes.

Public content (tricks, transitions, combos, Instructor Secrets, posts you choose to share) is visible to other Poletrix users according to the visibility settings described in the app. Private content — such as competition entry videos, progress diary clips tied to your own account, and coaching request videos — is only accessible to you, the relevant instructor (for coaching), or the Poletrix team.

5. Payment Processing

All payments are processed by Stripe, Inc. Stripe's own privacy policy governs how they handle your payment card details. We only receive limited information back from Stripe — your purchase/subscription status and a customer reference ID — which we use to manage your account access.

Pole Credit balances are stored in our database and have no cash value outside the app. Purchase and spend history tied to your account (e.g. credits spent unlocking tutorials or requesting coaching) is retained to resolve support issues and prevent fraud.

6. Competitions and Instagram Sharing

When you enter a Poletrix competition, your submitted video and contact details (name, email) are private — used only by the Poletrix team to judge entries — and are never shown to other users or made public.

If you place 1st, 2nd, or 3rd, a screenshot of your attempt, your hold time (where applicable), and your Poletrix username will be shown publicly on the competition page within the app. Your submitted video itself is never made public.

Entering a Poletrix competition also requires your explicit, separate consent to share that same screenshot and username on Poletrix's Instagram account if you place — this consent is mandatory to submit an entry, not optional. It's recorded with a timestamp and the exact wording you agreed to. You can withdraw consent for future use at any time by contacting us (Section 12); this won't remove content already posted to Instagram, but we'll take it down on request.

7. Sharing Your Information

We share information with: other Poletrix users, limited to what you've made public (profile, public content, badges, achievements, public leaderboard/winner entries); instructors, for coaching requests you submit to them; service providers who process data on our behalf (Supabase for database/authentication/storage, Stripe for payments, Cloudflare for video delivery, Expo for push notifications); and law enforcement or regulators, only where required by law or to protect the rights, property, or safety of Poletrix, our users, or the public.

8. Data Retention

We keep your account information for as long as your account is active. If you delete your account, we delete or anonymise your personal information within a reasonable period, except where we're required to retain records (for example, payment records for tax or legal compliance, or competition consent records for as long as related content remains public).

9. Your Rights and Choices

Depending on where you live, you may have rights to access, correct, delete, or export your personal information, and to object to or restrict certain processing. You can update most of your information directly in the app (profile, notification settings, content visibility). For anything else, including full account deletion, use the "Delete Account" option in your profile menu or contact us at the email below.

You can control push notifications in the app's notification settings or your device settings at any time.

10. Children's Privacy

Poletrix is not intended for anyone under 18. We do not knowingly collect information from anyone under 18. If we learn that we've collected information from someone under 18, we will delete it.

11. Data Security

We use reasonable technical and organisational measures to protect your information, including encrypted connections and access controls on our database. No method of transmission or storage is 100% secure, and we can't guarantee absolute security.

12. Contact Us

If you have questions about this Privacy Policy, want to exercise your data rights, or want to withdraw Instagram-sharing consent, contact us at:

13. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we'll notify you in the app or by email before they take effect. Continued use of Poletrix after changes are posted means you accept the updated Policy.
